Site Administrator

The Site Administrator supports the Projects Team on site reporting to the site Construction Manager.

 

Role and responsibilities:

  • Administrator for the Projects team on site.
  • Ensure the smooth and efficient running of administration services for the Site. Drive a culture of continuous improvement and efficiency.
  • Work closely with the Admin team & Project Team for the effective delivery of seamless administrative and reception services.
  • Travel Coordination
  • Distribute, maintain & upload to Asite - Meeting Minutes, Project Notes & Action Register
  • Provide support to the Operations Team and other senior managers as needed - diary management, screening calls, travel arrangements, arranging conference calls, organising meetings & events and being present at meetings to take minutes.
  • Assist with preparation of construction and handover packages.
  • Help individual departments with administration services during busy periods (e.g. document control, procurement, project controls etc.)
  • Manage queries that come into the administration area and assist DPS personnel with ad-hoc queries as required.
  • Stationary orders, maintain phone list, booking meeting rooms, setting up WebEx calls, meeting calls.
  • Collaborate with DPS administration and document controls teams in other offices as needed to support colleagues and business needs.

 

Educational, skills and experience requirements:

  • Leaving Certificate or equivalent education. Other business, administration or secretarial qualifications an advantage.
  • Demonstrated office management experience with proven ability to develop efficient administration services.
  • Advanced MS office skills required (MS Word, Excel, PowerPoint and Outlook).
  • Familiar with database systems (e.g. Agresso or others).
  • Team worker, promotes a positive working atmosphere.
  • Demonstrated people and task management skills.
  • Flexible and professional attitude.
  • Excellent time management capabilities: plans, prioritises and organises multiple concurrent tasks to meet deadlines.
  • Strong interpersonal and communication skills with a willingness to help others.
  • Proven ability to deal with unexpected issues using problem-solving skills.
  • Ability to be persistent and convincing in establishing new work methods and delivering administration efficiencies.
  • Ability to maintain discretion and confidentiality at all times.
  • Self-motivated with the ability to work and take initiative without close supervision.
  • Capable of working as part of a multi-disciplined team.
