Lead Document Controller (East Cork area)

 

DPS Cork are currently hiring a Lead Document Controller to work in our Cork office based in Little Island. The successful applicant will gain experience in a busy design & project management office by working closely with colleagues in our technical teams and other internal DPS departments to deliver on projects for our clients. Our clients are primarily in the Pharmaceutical sector.

 

Background:

•        At least 5 years-experience, as Document Controller.

•        Knowledge of Document Control systems.

•        Knowledge of Cloud System & Document Management Systems, Document Retention Systems

•        Experience as lead document controller on projects from project inception to Project Handover.

○        This should include experience in Management of internal & external documents.

○        Vendor Expediting

○        Coordinating project H/O packages to meet client requirements.

•        Experience in ISO 9001 certification is a requirement.

•        Experience in all Microsoft Packages especially Microsoft Access

•        Auto CAD experience a benefit but not essential

 

Key responsibilities:

Doc Control responsibilities include

•        Support all document flow needs for engineering design disciplines, Project Management and Validation Departments.

•        Issue of Project Deliverables to Project Team & Client using Document Control System

•        Manage of Project Deliverables in Electronic/Hard copy format

•        Expedite Vendor Documentation

•        Coordinate Project H/O Packages in accordance with client procedures

•        Conducting Internal Audits & raising corrective actions in accordance with ISO 9001 Certification.

•        Liaising with clients, vendors and contractors to deliver completed project handover documentation to client specifications.

 

Quality Coordinator Responsibilities include:

•        Complete internal audits

•        Manage corrective actions

•        Review all design deliverables ensuring compliance with the brand and the templates

•        Train junior document controllers

•        Maintain project register and follow up on items to be completed within the register such as lessons learned, design safety reviews, project execution plans, lessons learned and client surveys

•        Attend monthly meetings with quality team        

 

Qualities of Candidate

These include being self-directed, the ability to work independently & as well team environment and being highly motivated. Focused and carry out their tasks in a timely and accurate manner. They should be detail-oriented, dependable and trustworthy since they come in contact with complex and sensitive documents.

 

Education & experience:

Leaving Certificate level, a minimum requirement, with least 5 yrs experience a requirement.

Third level qualification in Quality Management a benefit but not essential

 

 

Essential skills:

The ability to prioritiz95652.0748311e, manage time well, multitask and troubleshoot. Strong interpersonal, communication and customer service skills are also essential to communicate with internal personnel & clients. They must be computer literate well-versed in Microsoft Office products
